All providers at a glance

Ambient AI solutions listen passively in the background during the consultation, transcribe the conversation between physician and patient in real time and generate structured clinical notes on their own. The AI extracts the relevant medical information, suggests diagnosis and billing codes and transfers the finished documentation into the practice management system with one click. The aim is to cut documentation time so physicians can concentrate fully on the patient rather than on notes.

Criteria for the decision

Buying software is an important decision that calls for organisational, technical and financial consideration.

Here are the 12 most important points to bear in mind for a sound choice:

1. Cost structure

Examine the total cost of the software, including licence fees, implementation costs, training costs and any recurring charges.

Establish whether it is a one-off payment or a subscription fee, and how that affects your budget in the long run.

Establish how the options for terminating the contract are arranged.

2. Functions

Make sure the software offers every required function for your practice, your healthcare organisation or your hospital. How should the transcript be output? What options are there for editing and improving the document produced? Can templates be set up per user and per organisation? How precisely and reproducibly are those templates applied, and is the system you choose prone to hallucination, the classic problem of every AI solution?

3. Infrastructure

Establish which infrastructure the ambient AI runs on. Is it a cloud solution that can be opened in the browser? Is a local installation on the PC necessary, or does it need a server installation and integration into a local network? Does it work on mobile devices too, on a smartphone for instance?

Depending on the solution, further consideration of security (firewall), backups, resilience and internet speed is of major importance.

4. Scalability

Check whether the solution is scalable as your organisation grows. You should make sure your requirements will still be met in future.

Can new members of staff be managed independently, or do you have to contact support every time?

5. Integration with your primary software

Integrating your ambient AI with your primary system (practice, hospital or radiology information system) is essentially always an advantage. Are the necessary interfaces in place, or can they be integrated? What data is exchanged between the primary system and the ambient AI?

If further steps in the practice system are needed after documentation, a configured workflow can prepare them. Unomed Flows structures dictation into report drafts; the clinician checks content and recipients before transfer or sending.

6. Data protection

Data protection is central to ambient AI in healthcare, because sensitive health and context data is processed continuously. What matters is data minimisation, purpose limitation and a clear separation between raw data, transcripts and structured findings. Technically, there should be end-to-end encryption, local processing or EU/Swiss hosting, and transparent concepts for erasure and access. Legally it takes informed consent, audit-proof logging and strict compliance with the Swiss Data Protection Act, the GDPR and medical professional secrecy.

7. Onboarding and support

How does onboarding onto the chosen ambient AI work? Is there training on site, or is the software self-explanatory? Is it necessary to carry out local installations? Who performs those installations and configurations? What does that cost?

Examine the software's support options, in terms of response time, hours of availability and cost.

8. Updates, maintenance and outages

Find out about the cost and the schedule of software updates and maintenance services. Are software updates included in the price or do they have to be paid for separately? Are interruptions to operation to be expected during updates?

Ask about outages and how resilient the solution you choose actually is. System outages can restrict your operation considerably if you have no fallback to hand.

9. Data security and compliance

Data security for ambient AI in healthcare calls for robust technical safeguards such as strong encryption, role-based access controls and continuous monitoring. Hardening the systems, secure interfaces and regular penetration tests are central elements too. Compliance means demonstrable adherence to statutory and normative requirements such as the Swiss Data Protection Act, the GDPR, ISO 27001, SOC 2 or sector-specific healthcare standards. Clear responsibilities, documented processes and audits are needed in addition, to secure trust and legal certainty for the long term.

10. References and ratings

Read ratings from users of the software. Ask for references and speak directly with other users about their experience. Sometimes personal advice is the right route as well.

11. Requirements specific to your country

Consider local software. That way you make sure the statutory requirements and standards applicable in your country are met. In particular, data protection laws are not uniform internationally. The new Swiss Data Protection Act has fortunately been aligned with the European GDPR. Outside the EU, however, the legal position can differ considerably, which makes the corresponding solutions carry significant risk.

12. Long-term cost-benefit analysis

Carry out a cost-benefit analysis to make sure the software supports the profitability of your practice.

If your software supports the efficiency of your practice better than the alternative, then in most cases the additional cost will pay for itself quickly.
